This page explains how to use QRVault, how each application works, and how to manage your QR spaces effectively.

1. Core QRVault workflow

Create a QR space

From your dashboard, create a QRVault. Each space generates its own QR code, public link, storage area, and application settings.

Manage the QR space

In Manage Space you can upload files, create folders, set guest passwords, enable applications, and export the QR code to PDF.

Use the public page

Scanning the QR code opens the public page for that QRVault. Depending on the settings, users may view files, upload to shared folders, or be taken into an application such as OnSite Register or TaskList.

2. Dashboard and QR spaces

  • Your dashboard lists all QR spaces available under your account.
  • Each QR space card shows the QR image, storage usage, public link, and management actions.
  • Use the dashboard search to find QR spaces by name.
  • Use the group dropdown on the dashboard to filter QRVaults by group.
  • Each QR space can show which applications or features are enabled for it.

3. Files, folders, and permissions

Files

Owners and administrators can upload files to the root of the space or to a folder. Public users can only upload when the space or folder allows it.

Folders

Folders can be created inside each QR space. Each folder can be admin-only or shared-upload. Folder-level guest passwords can also be applied.

Blocked files

Executable and script-like files are blocked for safety. Use non-executable formats such as PDFs, spreadsheets, images, manuals, reports, archives, and drawings.

Guest deletion during the same session

Where supported, a guest who uploads a file during the same browsing session may also be able to remove that upload.

4. Applications panel

The Applications panel is used to enable or disable optional functions for each QR space.

  • Enable an application by ticking it in the Applications panel.
  • Save the application toggles for that QR space.
  • If the application supports extra settings, open its Preferences page.
  • Some applications can be set so the QR code goes directly into that application instead of the main vault page.

5. OnSite Register

Purpose

OnSite Register is used for personnel sign in and sign out on a QR space. It can be used for contractors, staff, visitors, or anyone arriving on site.

How to use it
  • Select a registered person from the dropdown, then sign in or sign out.
  • Use Add New if the person is not already in the register.
  • The system records sign-in time and sign-out time.
  • Depending on the settings, the personnel list may be visible to all users or only to an administrator.
Administrator actions
  • Export the register to Excel.
  • Remove names from the register where that option is available.
  • Choose whether the QR code goes directly to the register.
  • Choose whether the personnel list is shown publicly.
Export

The Excel export provides a clear attendance log for the QR space, including timing and any additional audit information enabled for the register.

6. TaskList

Purpose

TaskList is used to show open tasks tied to a QR space. It is suited to site work, punch lists, commissioning tasks, defect items, or routine actions needing sign-off.

How to use it
  • Open the task list from the QR page or direct-entry route.
  • Review each open task, due date, and priority.
  • Mark a task complete and provide the required completion name or selection.
  • Use the question action to ask for clarification on a task.
Administrator actions
  • Add new tasks with description, due date, priority, and sort order.
  • Edit, delete, or reopen tasks.
  • Filter tasks by open, completed, or all.
  • Export the task list to Excel.
Linked register workflow

TaskList can be linked to a QR space that uses OnSite Register. In that case, task completion can be limited so only people currently signed in on the linked register are allowed to complete a task.

7. ToolBox Talk

Purpose

ToolBox Talk is used to prepare and record a daily toolbox talk for a QR space, including project information, agenda notes, health and safety items, contractor notes, job plans, other notes, and an attendees register.

How to use it
  • Open the ToolBox Talk page from the QR space or public page.
  • The page defaults to the current day.
  • If no record exists for that day, the previous day's toolbox talk is carried forward into the new day.
  • Update the daily information and add or remove line items as required.
  • Add attendees manually, or select from signed-in OnSite personnel if a linked OnSite QR space has been set in preferences.
Export

The export produces a daily ToolBox Talk sheet for the selected date in a flowing Excel document layout rather than a simple table.

8. Electrical Nameplates

Purpose

Electrical Nameplates are used to generate nameplates associated with a QR space.

Availability

The nameplate option appears when it has been enabled for the QR space and is available to the account.

9. QR code export and sharing

  • Each QR space has a public link that can be copied and shared.
  • QR codes can be exported to PDF from the Manage Space page.
  • Where supported, QR size can be chosen for the PDF export.
  • Direct-entry applications can change what the QR code opens first.

10. Administrator access

The public page only shows administrator upload and management controls when the owner of the space or a platform administrator is signed in. Unauthenticated visitors only see the public-facing content and any actions allowed by that QR space.
